At Arcanist, we respect the personal data of our customers. This text (hereinafter referred to as the “Policy”) explains in simple and clear terms how we process the personal data we collect from you or that you freely provide to us. Please read this Policy carefully to be informed about how we collect, store, use, transfer, and protect the information/personal data we receive from you:

General:

1. Arcanist collects and maintains only the personal data you disclose to us by entering the required personal information in the relevant fields or/and your responses within specific actions conducted by Arcanist that you voluntarily participate in, and which are the minimum necessary for its proper functioning or/and the completion of our contractual relationship with you.

2. In the context of the obligation to safeguard and protect the information of its customers, Arcanist is committed to protecting and using the personal information (hereinafter “personal data”) collected either online from this website or through communication/collaboration with any third party appropriately.

During the registration process, we collect and process the following data:

Required data:

  • Title.
  • Full name.
  • Complete postal addresses with floor number and apartment number where necessary.
  • Email address.
  • Password.
  • Landline number.
  • Mobile number.
  • Tax information, company name, profession, VAT number, tax office, and headquarters address when an invoice is requested for professional use.

3. Arcanist collects only the personal data necessary for the execution of our contract and what is voluntarily provided by its customers to meet the respective requests, provide information about our products and services, and serve them in the best possible way. Where additional, optional information is sought, there will be a specific notice at the time of collection.

Specifically:

1. Collection and purposes of personal data use

The receipt of personal data is carried out only if you choose to provide it voluntarily — for example, if you meet with us, contact us by email, or register as customers of Arcanist’s products and services on our website www.arcanist.gr. The use of products and services specifically provided by www.arcanist.gr requires ensuring the ability to communicate with you. Therefore, it is necessary during your registration on the website www.arcanist.gr to declare the true personal data requested from you, as specified above.

By registering for the services provided by Arcanist, you also consent to the storage and use of your personal data in accordance with this Policy. We are permitted to process your personal data to provide personalized services under the law (Article 6(1b) of Regulation (EU) 2016/679). Your personal data is not used for purposes other than those described in the Policy unless we obtain your prior consent, or unless required or permitted by law.

The purpose of collecting, using, and processing your personal data is (a) the provision of the services and products of our Contract for which the use or/and processing is necessary, e.g., the subsequent fulfillment of contractual obligations, (b) the promotion of products and services provided by Arcanist, especially through the website www.arcanist.gr, (c) the provision of personalized services, to facilitate the user and/or ensure that the content of the website is presented in the most effective way for you and your computer.

Arcanist collects “sensitive” personal data only when you voluntarily provide it to us or when such data is required for the completion of a transaction or its collection is permitted by law. We advise you to refrain from providing sensitive data unless necessary for the provision of personal data or if you consent to Arcanist’s use of such data for its purposes.

Arcanist may ask you to provide certain personal data for sending informational messages regarding products and services or/and related offers and announcements. Arcanist may also request your permission for certain uses of your personal data, and you may either consent or decline these uses. If you wish for specific services or communications, such as an electronic newsletter, you will have the opportunity to unsubscribe from the related recipient list at any time by following the instructions included in each communication. If you decide to unsubscribe from a service or communication, we will attempt to remove your data as soon as possible, although we may need a certain amount of time and/or information before we can process your request.

2. Access to personal data and Rights

If you wish, you may request at any time to be informed about your personal data held by Arcanist, their recipients, the purpose of their retention and processing, as well as their modification, correction, or deletion by sending an email to info@arcanist.gr from the contact email address you have declared, attaching a copy of your ID card. You also have the right to review the personal data we hold and generally to exercise any rights provided by the legislation on personal data protection.

The personal data you disclose to Arcanist in person or through www.arcanist.gr, either during your registration or at a later stage, are collected and are subject to use and processing in accordance with the applicable provisions on the protection of personal data, specifically in accordance with the provisions of Law 2472/1997 and Law 3471/2006, as applicable, but also with the new European General Data Protection Regulation (EU) 2016/679 as well as Directive 95/46/EC on personal data protection.

You have the following detailed rights:

  • Right to be informed about your personal data: Upon your request, we will provide information regarding the personal data we hold about you.
  • Right to correct and complete your personal data: If you notify us, we will correct any inaccurate personal data concerning you. We will complete incomplete data if you notify us, provided that the data is necessary for the purposes of processing your data.
  • Right to delete your personal data: Upon your request, we will delete the personal data we hold about you. However, certain data will be deleted only after a specified retention period, for example, because in some cases we are legally obliged to retain the data, or because the data is required to fulfill our contractual obligations to you.
  • Right to restrict the processing of your personal data: In certain cases provided by law, we will restrict your data if you request it. Further processing of restricted data is done only to a very limited extent.
  • Right to withdraw your consent: You can withdraw your consent for the processing of your personal data at any time in the future. The legality of the processing of your data remains unaffected by this action until the point of withdrawal of your consent.
  • Right to object to the processing of your data: You can object to the processing of your personal data at any time in the future if we process your data on the basis of one of the legal justifications provided in Article 6 (1e or 1f) of Regulation (EU) 2016/679. If you object, we will stop processing your data, provided there are no legal reasons for further processing. Processing your data for advertising purposes is not considered a legal reason.

3. Transfer of Personal Data

Arcanist does not share or transfer personal data with third parties unless required for legitimate professional purposes and business needs to respond to your requests or/and as required or permitted by law. In any case, access to your personal data is only allowed to authorized individuals who need to have access in order to complete the purposes of collection, use, and processing as disclosed in this Policy.

In some cases, Arcanist may share your personal data with various companies or service providers collaborating with it to respond to your requests or with individuals or legal entities to whom the processing is assigned, provided that we inform you in advance and obtain your prior consent. Individuals with access to the data are obliged to maintain the confidentiality of such data.

Arcanist reserves the right to use the data you disclose to it in person or through www.arcanist.gr in a way that does not allow the identification or disclosure of the person to whom it refers, for statistical, promotional, research, or advertising purposes, disclosing them also to third parties such as research companies responsible for completing the above purposes.

Arcanist may transfer certain personal data outside geographic borders to other companies collaborating with it or/and store personal data in a different jurisdiction from where you are located. Arcanist may store your personal data in the cloud. This means that your personal data may be processed by a cloud service provider on behalf of Arcanist, and your personal data may be stored in different locations worldwide. Arcanist uses organizational and contractual measures to protect personal data and to enforce similar, but in no case less restrictive, requirements on our cloud service providers, including requirements regarding the exclusive processing of your personal data for the purposes mentioned in this Policy.

4. Personal Data Security

Arcanist implements specific technical and organizational security procedures to protect personal data and information from loss, misuse, alteration, or destruction. Our partners who support the operation of the Arcanist website also comply with these provisions.

Arcanist makes every reasonable effort to keep the personal data collected only for the period needed for the purpose for which they were collected or until their deletion is requested (if this happens earlier), unless it continues to retain them as provided by applicable law.

5.Policy Revisions

Arcanist reserves the right to modify or periodically revise this Policy at its absolute discretion. In case of changes, Arcanist will record the modification or revision date in this Policy on its website www.arcanist.gr and the updated Policy will apply to you from that date. We encourage you to periodically review this Policy to check for any changes in how we manage your personal data. This Policy was last updated on 7/9/2021.
